Job Summary
Oversee and manage a talent payment staff of nine to advise and assist clients in all aspects of talent payment services done under a wide variety of collective bargaining agreements, with a strong focus on the SAG-AFTRA Commercials Contract.

Key Responsibilities
- Establish effective and productive working relationships with firm partners and clients to reconcile past due accounts and encourage timely payments.
- Evaluate DSO and client payment trends; thoroughly research and review client accounts and become familiar with client history, payment habits and status.
- Develop effective processes and meaningful client relationships to ensure prompt payments.
- Collaborate with partners and office administrative to determine appropriate plan of actions to collect any delayed, outstanding or delinquent payments.
- Manage entire collection process including making client calls, reconciling and resolving account payments and disputes, negotiating payment plans and receiving payments.
- Maintain a detailed log and accurate records documenting all verbal and written communication with clients and partners.
- Forecast and track the daily collections of aged accounts.
- Develop and implement collections policies and procedures in coordination with firm objectives.
- Prepare and present on-going client account status reports and make recommendations to resolve any issues.
Required
- 7-10 years collections experience working at a large law or professional services firm
- Superior communications skills with the ability to handle and negotiate with clients, vendors, collections agencies, business owners and C-level executives
- Demonstrated experience researching and analyzing client payment history
- Strong proficiency with Microsoft Word, Excel, PowerPoint and Outlook; Elite Enterprise; Accounts Receivable Collections System (ARCS); Experian and other credit rating systems

Key Responsibilities

- Responsible for all non-payroll related Firm tax returns (i.e. Sales & Use Taxes, Property Taxes, Business Taxes, etc.) on a monthly, quarterly, or annual basis. This position is also the point person for all audits relating to these tax returns
- Other duties as may be assigned to fully meet the requirements of the position

- Oversee all domestic expense reporting, including but not limited to entering, processing and issuing checks for employee travel, entertainment and corporate card purchasing expenses.
- Receive electronic invoices through the EDI payment system; submit and monitor payments
- Enter and process vendor invoices within Great Plains system; enter vendor/employee payment information and code documents to the correct office and general ledger account code.
- Audit supporting documents to ensure proper approvals, G/L account coding, and payment support is included before disbursing cash.
- Research and respond to inquiries (internal and external) regarding invoice/check status, as well as, inquiries that require additional explanation or copies of supporting documentation.
- Analyze and resolve problems related to the payment process.
- Maintain an accurate and organized filing system of all processed documents for the current and prior calendar year.
Required
- 5-7 years’ experience handling a high volume of invoices within a multi-office law firm
- Advanced Excel skills i.e. PivotTables and V-Lookups
- High proficiency utilizing Great Plains (Microsoft Dynamics GP), EDI Systems, Microsoft Word, PowerPoint and Outlook
- Demonstrated experience managing firm-wide T&E Reimbursements
