Facilities & Building Coordinator

Compensation

Summary: The Facilities and Building Coordinator will report to the Senior Manager of Operations, Risk Management & Real Estate and will be responsible for the administrative day-to-day support of the Real Estate & Risk Management Department.
Key Responsibilities:
- Ensure Confidentiality of all documentations
- Manage, inspect, and monitor construction and installation progress of all ongoing projects
- Update space plans and coordinate office moves and changes
- Administer the company / office supply vendor relationship, ensure company requirements are met
- Compose Firm correspondence via written, email and verbal
- Schedule meetings, establish and maintain calendar deadline reminder items
- Prepare large document sets and participate in scanning projects
- Audit documents
- Create ad-hoc reports (monthly, quarterly, and annually)
- Review and update lease documents
Requirements:
- Bachelor’s degree required
- 3+ year of Real Estate, Construction, Management, or related business experience in a Legal or Professional Environment
- Effective written and oral communication skills
- High levels of personal organizational, planning and management skills
- Ability to work both independently and with a team in fast-paced, high pressure environment.
- Impeccable attention to detail and exacting standards.
- Knowledge and understanding of lease agreements, contracts, and/or vendor management.
- Ability to present and maintain a professional appearance and demeanor.
- Excellent command of Word, Excel, and PowerPoint is required and ability to learn new software.
- Knowledge of AutoCAD, Visio, or SketchUp to assist with space planning assignments.
- Must be able to climb, kneel, lift and carry items up to 30 lbs
- Flexibility for overtime, including weekends, as required.

Responsibilities:
- Ensures firm’s office spaces, conference rooms, hallways are maintained in a clean and orderly fashion

KEY RESPONSIBILITIES:

KEY RESPONSIBILITIES
- Manages the operation of the entire facility and all equipment including management of full time staff, outsourced services and budgets.

REQUIRED SKILLS & EXPERIENCE
- 8+ years’ experience managing mid-sized Facilities and Operations Departments
- Must have experience with overseeing large construction projects.
- Prior experience working with conference reservation systems and workflow management systems required.
