Duties

The Document Processing Supervisor coordinates the workflow of the various Document Processing Facilities and is responsible for supervising and training a staff of ten to twenty-five employees on a particular shift.

  • Interviewing, selecting and training new employees
  • Assessing and arranging job priorities and deadlines; monitoring time, resources and operator/proofreader jobs in progress
  • Visiting all document processing facilities on a regular basis to interact with staff, monitor workflow progress, and answer questions

Duties

This legal word processing professional will work in the firm’s global headquarters in New York City in a state of the art legal word processing center.

Perform advanced legal word processing and document functions with Microsoft Word as assigned by the legal word processing supervisor.

Interface with fellow professionals in a highly respected work environment known for “work quality of life”.

Required

  • A minimum of (3) three to (4) four years of professional full time word processing experience in a word processing center or law firm.
  • Advanced Microsoft Word is required - Additional program knowledge of any of the following is desired: Power Point, and Excel.
  • Must be authorized to work and reside in the United States

Job Responsibilities

Creating and revising documents while adhering to the firm's style, working in a small team environment, providing out-of-center secretarial support to attorneys as requested, learning new software packages as needed, proofreading each document for accuracy, routing documents to attorneys/employees upon completion, answering telephones, and making copies when necessary and performing other assignments as required.

Required

  • Must type 65 plus words per minute

The Firm

Duties

Perform all basic and advanced word processing functions on current software utilized by the firm including Word 2010, Excel 2010, PowerPoint 2010, iManage, and any additional software the firm utilizes in the future. 

  • Perform extensive formatting and editing of word processing document, including advanced features such as Comparite, Table of Authorities, Table of Contents, etc.
  • Create, edit, revise and print documents on Word Processing system, including labels, backs, fax forms, messenger request forms, and all other forms on the system.
  • Convert documents from other software into the version we are currently utilizing.
  • Proofread work for quality and correct formatting.
  • Type UCC statements on the system.
  • Assist with scanning and faxing of documents as necessary.
    Has experience in EDGARizing documents; understands SEC policies. 
  • Troubleshoots documents. 
  • Proofreads work for accuracy prior to submitting to proofreading or returning to lawyer. 
  • Creates and revises complex legal documents, adhering to Firm guidelines. 
  • Maintains an accurate log of the amount of time spent working on each document. 
  • Coordinates and communicates effectively and professionally with DP Supervisor-EDGAR and other Document Processing Supervisors regarding workflow and other issues.

Required

  • Extensive knowledge of Microsoft Word 2010, including advanced functions (TOC, TOA, Cross-referencing, Bookmarks, Track Changes, Tables, Drawing, Auto-Correct features, Styles) Windows XP, Excel 2010 (Intermediate to advanced Excel, including basic formulas, formatting, and embedding into PowerPoint), PowerPoint 2010 (Intermediate to advanced PowerPoint, including embedded pictures and tables), IManage, Visio, Edgar (using ASCII) and other related software.
  • Competence in creating and editing financial tables quickly and accurately
  • Acrobat, including extracting and converting PDF files
  • Familiarization with basic graphics and picture manipulation, including resizing, copying, and pasting functions
  • Familiarization with OCR conversion software such as Omnipage
    Min 4 to 5+ years’ experience as a WP/Edgar specialist in a law firm.

  • The weekend staff is required to provide phone coverage for some portion of their shift as well as help out in areas needed for administrative tasks.
