Director of Secretarial Services and Word Processing

ORGANIZATION: U.S. Based Global Law Firm
LOCATION: New York, NY - Midtown, Manhattan
HOURS: Monday – Friday, 9:30AM - 5:30PM

SUMMARY: The Director of Secretarial Services and Document Processing will manage the Secretarial, Reception and Word Processing Departments in a 24/7 law firm setting.


  • Manage the overall Secretarial, Reception and Word Processing functions, and the respective departmental managers
  • Must have a solid understanding of all aspects of services provided in the Secretarial, Reception and Word Processing Departments, ensuring staff completes all tasks effectively
  • Maintain frequent contact with managers and staff
  • Ensure optimal support for partners, attorneys and clients is provided
  • Maintain an active working relationship with oversight partner(s) to evaluate departmental procedures and implement changes as appropriate
  • Develop, implement and maintain the department’s procedures and best practice guidelines; analyze data and make appropriate recommendations
  • Proactively assess business requirements to develop solutions and drive improvements across Secretarial, Reception and Word Processing Departments
  • Maintain budgets in areas of responsibility; manage them on a regular basis
  • Keep abreast of developments in legal market to ensure the departmental practices are current
  • Conduct the performance and salary review process; make compensation recommendations
  • Manage and address employee and performance issues to ensure optimal results
  • Oversee the development of team members and provide necessary training


  • Bachelor's Degree required
  • 10+ years of relevant staff management experience in Secretarial and Word Processing Departments
  • Management experience in a law firm or professional services environment preferred
  • Excellent well-developed management and interpersonal skills and organizational skills
  • Ability to interface, develop and maintain professional relationships with attorneys and staff
  • Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are taken
  • Ability to manage multiple priorities and deadlines under time constraints

Manager Law Firm Client Services

Compensation: up to $125,000 base salary plus paid overtime and bonus

The ideal candidate will know how to meet the Firm’s standards of excellence in supporting the attorney teams and will play an active role in helping the Firm to provide legal services of the highest caliber to the clients in the Corporate and Securities Department.   

Key Responsibilities:

  • Assist Attorneys with executing cash and stock mergers, tender offers and other complex transactions for private and public emerging growth companies
  • Provide support in mergers and acquisitions, venture capital financing, limited and general partnerships, IPO’s and other securities offerings
  • Assist clients in the transition from private to public enterprise
  • Assist private and public company clients with state and federal securities law compliance
  • Prepare all documents required to form, merge and dissolve corporations, partnerships and limited liability companies, including but not limited to:  corporate resolutions, certificates of incorporation, indemnification agreements, investor rights agreements, term sheets, etc.

Required Skills:

  • 5+ years of Corporate Paralegal experience in a law firm
  • Must have knowledge of corporate governance and entity types and experience with corporations, dissolutions, and various corporate transactions
  • Proficient in MS Office; knowledge of Westlaw or LexisNexis preferred
  • Articulate and professional demeanor and detail oriented work manner
  • Strong written and verbal communication skills
  • The ability to multitask, work well under pressure and complete assignments in an accurate and timely manner
  • Maintain confidentiality and exercise a high standard of judgment and discretion
  • Flexibility to work overtime as needed

Provide Executive Legal Secretary Support to the Managing Partner and three Associates, while overseeing and managing the strategic and daily administrative operations, including staff on-boarding and integration and secretarial scheduling and workflow coordination.

  • Create, format, edit, proofread and manage correspondence, contracts, presentations and marketing materials

  • Arrange domestic and international travel including flights, hotels, car service, etc.
  • Assist MP and Attorneys with time entry and billing as needed; set up invoices and statements, enter and track attorney’s billable hours, create reports and maintain records
  • Track and process expense reports, reimbursements and check requests
  • Sort and prioritize incoming mail, fax and interoffice correspondence

Staff Administration

  • Serve as the first point of contact to managers and employees, providing guidance for all employee relations issues
  • Evaluate and recommend changes in methods and procedures to ensure efficient work flow coordination of secretaries and staff; distribute new protocols to staff
  • Facilitate the administration and coordination of the Firm’s staff recruiting efforts
  • Receive and screen resumes from agency referrals
  • Schedule applicants for office interviews
  • Facilitate offers, preparing new-hire packages, processing new-hire forms
  • Track employee attendance, vacation requests and sick days; coordinate with Controller to maintain payroll records
  • Prepare bi-yearly evaluation packages
  • Conduct and/or witness performance evaluations and coaching sessions
  • Ensure all related policies, procedures and practices are up-to-date and properly communicated to firm employees
  • Encourage leadership and a positive work environment


  • 7+ years Legal Secretary experience with at least 2 years at the Managing Partner or Firm Administrator level
  • Must possess superior writing capabilities with a genuine appreciation for meticulously crafting letters, presentations and correspondence
  • Familiarity with corporate, commercial and real estate transaction law
  • Ability to maintain the highest level of professional discretion and confidentiality
  • Proven relationship-builder with outstanding leadership and interpersonal skills
  • Highly proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Skilled with transcription from dictation
  • Types 70+ WPM
  • Bachelor's degree preferred
  • German Language skills a plus but not required
