Summary: Top-ranked AM multinational law firm is seeking a Legal Secretarial Supervisor to support the Boston Office. The Legal Secretary Supervisor will supervise the daily workflow of all legal assistants and secretaries within the Boston Office. Heavy interaction with cross-functional departments regarding department needs.

Key Responsibilities:

  • Manage the overall secretarial, legal assistant and departmental management relationships with regard to legal secretarial and legal assistant matters
  • Maintain a solid understanding of all aspects of services provided in your Secretarial Department and the Firm's related Paralegal, Case Management, and Litigation Departments. The Secretarial Department plays a key role in the entire firm.
  • Maintain an active working relationship with Partner(s) and Senior Management to evaluate departmental procedures and implement changes as appropriate
  • Develop, implement and maintain the department's procedures and best practice guidelines; analyze data and make appropriate recommendations
  • Assist with hiring, orientations and ongoing training of those in your department
  • Maintain budgets in areas of responsibility
  • Keep abreast of developments in the legal market to ensure the departmental practices are current
  • Direct coordination of secretarial projects: identify resources required, oversee ongoing projects and communicate effectively with administration
  • Actively source for alternative methods and best practices for all workflow and procedures
  • Manage and address employee and performance issues to ensure optimal results
  • Oversee the development of team members and provide the necessary training

Requirements:

  • 7+ years of supervisory experience in a law firm preferred
  • Bachelor's Degree required
  • Excellent well-developed management and interpersonal skills and organizational skills
  • Ability to interface, develop and maintain professional relationships with attorneys and staff
  • Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are taken

  • Proactively assess business requirements to develop solutions and drive improvements across Secretarial, Reception and Word Processing Departments
  • Maintain budgets in areas of responsibility; manage them on a regular basis
  • Keep abreast of developments in legal market to ensure the departmental practices are current
  • Conduct the performance and salary review process; make compensation recommendations
  • Manage and address employee and performance issues to ensure optimal results
  • Oversee the development of team members and provide necessary training

REQUIREMENTS:

  • Bachelor's Degree required
  • 10+ years of relevant staff management experience in Secretarial and Word Processing Departments
  • Management experience in a law firm or professional services environment preferred
  • Excellent well-developed management and interpersonal skills and organizational skills
  • Ability to interface, develop and maintain professional relationships with attorneys and staff
  • Ability to positively tackle problems, provide solutions and engage with others to ensure proactive steps are taken

Manager Law Firm Client Services

Summary:

Key Responsibilities:

  • Assist Attorneys with executing cash and stock mergers, tender offers and other complex transactions for private and public emerging growth companies

  • Assist clients in the transition from private to public enterprise
  • Assist private and public company clients with state and federal securities law compliance

Required Skills:

  • 5+ years of Corporate Paralegal experience in a law firm
  • Must have knowledge of corporate governance and entity types and experience with corporations, dissolutions, and various corporate transactions
  • Proficient in MS Office; knowledge of Westlaw or LexisNexis preferred
  • Articulate and professional demeanor and detail oriented work manner
  • Strong written and verbal communication skills

Summary:

DUTIES

Provide Executive Legal Secretary Support to the Managing Partner, two Partners and one Of-Counsel, while overseeing and managing the strategic and daily administrative operations, including staff on-boarding and integration and secretarial scheduling and workflow coordination.

Administrative

  • Work closely with the Managing Partner on the day-to-day running of his practice and the Firm, while serving as the Primary liaison to all clients, attorneys, employees and outside counsel
  • Create, format, edit, proofread and manage correspondence, contracts, presentations and marketing materials
  • Coordinate and maintain Managing Partner’s in-house meetings
  • Arrange domestic and international travel including flights, hotels, car service, etc.
  • Assist MP and Attorneys with time entry and billing as needed; set up invoices and statements, enter and track attorney’s billable hours, create reports and maintain records
  • Track and process expense reports, reimbursements and check requests
  • Sort and prioritize incoming mail, fax and interoffice correspondence
  • Manage purchasing of office supplies, cost analysis and budget alignment
  • Maintain contact lists for mailings

Staff Administration

  • Serve as the first point of contact to managers and employees, providing guidance for all employee relations issues
  • Evaluate and recommend changes in methods and procedures to ensure efficient work flow coordination of secretaries and staff; distribute new protocols to staff
  • Facilitate the administration and coordination of the Firm’s staff recruiting efforts
  • Receive and screen resumes from agency referrals
  • Schedule applicants for office interviews
  • Facilitate offers, preparing new-hire packages, processing new-hire forms
  • Track employee attendance, vacation requests and sick days; coordinate with Controller to maintain payroll records
  • Prepare bi-yearly evaluation packages
  • Conduct and/or witness performance evaluations and coaching sessions
  • Ensure all related policies, procedures and practices are up-to-date and properly communicated to firm employees
  • Encourage leadership and a positive work environment

REQUIRED:

  • 7+ years Legal Secretary experience with at least 2 years at the Managing Partner or Firm Administrator level
  • Must possess superior writing capabilities with a genuine appreciation for meticulously crafting letters, presentations and correspondence
  • Familiarity with corporate, commercial and real estate transaction law
  • Ability to maintain the highest level of professional discretion and confidentiality
  • Proven relationship-builder with outstanding leadership and interpersonal skills
  • Highly proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Skilled with transcription from dictation
  • Types 70+ WPM
  • Bachelor's degree preferred
  • German Language skills a plus but not required
